Set Sail Pass -- how many copies do I need?

OK, so big moment here. We finally got all of our passports and, thanks to that, we were able to complete online check in! And you know what that means...

Our Set Sail Pass is ready to print!!!

Looking at it, I see it lists all four of us on the first page, with me as the primary pass holder, and then only lists the room number for the cabin my wife and I are in. At the end, there are sample luggage tags showing both room numbers, the passengers in those rooms, and our muster station (B, as it turns out).

So, do I only have to print one copy of this document and it's good for all four of us? Or should I be printing four copies so each of us has one and can use it for things like any beverage purchases or the like while we're on board and waiting for our rooms / Sea Pass cards to become available?

I was always thinking there would be one Set Sail Pass for each of us, with our name / cabin # / etc; and then each of us would show our individual pass and passport in order to board. Would be happy to find out I'm wrong.

You need to bring the sail pass for each one that sell , if you will look on the print ticket option from the site you will see you have option to print for each one (or at least for you and yous souse), 

So although they look the same they are different (you name will be the primary and different name on each ticket) , that what I had last time anyway

Isn't that a great feeling Joe!!!!  That means it's so close finally!

Anyway, usually a set sail pass is made available for printing for each member in the party.  In your case, I would print a copy for each of you (just in case) and bring it to the terminal.  However, with Freedom class ships, they might give you sea pass card at check in.  I think it's just Harmony and Quantum that you have to wait until your cabin.

My kids' reservation has no option to print a pass -- which makes sense since they're both minors. For the reservation that my wife and I are on, I see no option in the Set Sail Pass screen at the end of Online Check-In to print for all. Nor do I see any option for that in the pop-up window that opens after I click the Print button on that final Online Check-In screen.

Further, on the copy of the pass that I see, the table in the first page that lists all the passengers has "Certified By:", followed by my name in the Cruise Ticket Contract column; my wife and I both have a check mark. That also makes sense since they're minors and I had to complete their online documentation for check-in. What's kind of weird is that the kids' room number isn't listed in that table's Room Number column, it's just blank.

There's a "What's This" popup I can view on the Cruise Documentation page, before I drill through to try and print the Set Sail Pass, and I do see it says this (emphasis added):

The SetSail Pass is the document you need to print when you finish the check in process and bring with you to the pier. Present the pass along with proof of citizenship and appropriate identification documentation for each guest in order to board. All guests listed on the pass must be present to board. Any discrepancies may result in delayed or denied boarding.

And the pass definitely lists all four of us. So maybe they've made some changes recently, or maybe because it's a Freedom class ship there is really only one Set Sail Pass printout needed? That text definitely makes it sound like I just print out one copy, and as long as all four of us are present at check-in with our passports, we're good to go.

That's strange....usually there is a print button to click at the far right column for each person.  Are your kids both registered in the same stateroom? Because usually each stateroom has to have at least one person 21 or older sailing.  I wonder if that is messing it up?  But as long as the pass lists all 4 of you then you are likely fine.

Nope, on my reservation (wife and I) there is only one button to print -- that far right column has only one "cell" for the two of us. The kids' reservation (separate room, connecting to ours so we get away with not needing someone over 21 in there) also has only one "cell" in that far right column, but it's blank.

Sorry, now I am even more confused. Lol. So you and your wife share one "cell"?  It's not a 4 x 2 table/chart for two people?  I might be out of ideas...sorrry

We only had 1 set sail pass for the 6 of us across 2 rooms on Liberty. I only printed out one and had no problem but I needed to wait for my DH as he parked the car after dropping us off with luggage as he'd have no way to get in without us. All our names were listed on the Set Sail pass. Never even thought we'd have a problem and we didn't.

I'm reading that your kids are listed on your pass. If I read that right then I wouldn't worry about it.  You could print out the first page 4 times so everyone has their own copy.

If you do a search, there are several images of set sail passes with multiple names on it.

So just one Print button that appears to apply for all four of us in one shot. I have to say, I'm kind of relieved I'm not the only one who's feeling confused by this!

Thank goodness! So it does sound like I'm all set (sail) here, since all four of us are listed on the one pass.

When you cruise with the kids, do you usually have two separate rooms, and have to book yourself in one and husband in the other? When it's just the two of you, have you always seen a separate print button for each of you?

Maybe this is specific to non-Oasis / non-Quantum class, or a combination of it being neither of those ship classes and the fact we're in that connecting room setup so both the wife and I are in one room.

@Matt, does any of this look familiar to you? How have you ended up printing your Set Sail Passes on your recent trips on Freedom-class vs. Oasis / Voyager / Radiance class? I think we need the Windjammer Connoisseur to chime in!

We have never cruised on RC with the kids.  This March will be the first time.  Now I wonder what mine will look like after I complete the online check in.  But we are all in one room.  When my husband and I cruise together on RC, it's been a separate pass for each of us.  Just like what @Traveler described above.  But then again, we have not sailed a non-Oasis class ship in a while.  I'm interested too to see what @Matt says.

I have done 26 cruises in the last 20 years and I have only ever printed one set sail pass for the entire family, so I am not sure what people are referencing as one for each person?  Every traveler is always listed within the set sail pass.

Did I mention Royal IT is like lightning?   ...never the same twice.

It does work differently for some ships and even within the new Anthem/Harmony/Serenade process it works slightly differently between ships.  

The newer process requires each person to have their own print out since you don't get your SeaPass cards until on board.  They have to scan something to see you have boarded the ship so each person gets their own.  

The old process where SeaPass cards are issued in the terminal doesn't require a print out for everyone since you will have your SeaPass card they can scan when your board the ship.

As more ships convert to the new way in advance of the new app and mobile check coming we'll likely see more differences being reported soon.

EDIT - I saw reference to a future Allure guest mentioning that they could upload a photo when checking in.  This is the new process so it seems Allure is converting over soon too.

I had a feeling it had something to do with getting the sea pass card at the terminal vs. in the room....

When I sailed Freedom in Nov. it was the old process.  Since Joe is on Freedom 1st, a single set sail pass should be fine - it's just used to get into the terminal.  If it's really a concern print 4 copies but I think that is just wasting trees. You will be given your SeaPass cards in the terminal.  

Anthem will be different.  Each guest on Anthem will need their own Set Sail pass since the bar code on each is unique and scanned upon boarding so they know exactly who is on board.  On Anthem your SeaPass cards will be in your room.  One SeaPass card is outside your cabin in an envelope that you can use to get into your cabin where you will find the rest of them. 

Tip - they tell you in Cape Liberty (Anthem) not to fold your Set Sail pass and stuff it into your pocket because it could mangle the bar code on the page you printed at home.

Even when we've sailed on Harmony where we had to get our sea passes in the cabin we have never printed out more than 1 set sail pass ahead of time.  It makes sense that each person might need their own to make purchases before their cabin is ready but I'm quite sure that we've never had more than just 1 since I'm the one who always prints them out.  I can't think of why we were able to get by with just the one.  Maybe it's b/c we've always been in Star Class on Harmony and we go directly to our room and get our sea passes immediately.  I'm not sure.  I always just print out Dan's since his is the one that has all of the credit card information on it.

Bottom line - even if you don't print out ANY set sail passes ahead of time you can still get on the ship eventually.  They will help you get whatever you need.  The only thing that can prevent you from getting on the ship is lack of proper documentation or illness.  Maybe an outstanding warrant for your arrest or if you're on the DHS bad boy list.  :15_yum:

Did you get a Genie escort onto the ship?  I know in Sky class my son and I had individual set sail passes on Harmony in September.  Upon boarding they scanned both which I presumed they did to know both souls were on on board. 

I don't doubt what you say, just curious how they recorded your presence on the ship which is far more important than charging things.

There remains a couple different versions of SetSail passes.  Your's appears to be the traditional style.  Notice how his name is under your name by the Print button?  That ships hasn't converted to the new process yet.  Single SetSail should suffice unless you plan to arrive at the cruise terminal separately.

One time when cruising with my son and we had planned to arrive separately I logged in under his name and was able to print a unique SetSail pass for him.  

If in doubt just bring a copy of the cruise invoice showing both names.

Some people arrive at the terminal with no paperwork.  As long as they checked in online that still works.

Newbie here - we are completing our online check in, so we can print all docs.  This thread caught my eye.

Weird question - why are they asking for a photo of each of us in this online section

Is that so crew and others can verify it's us on the ship?  Someone mentioned they take pics of us on day 1 for documentation.  If that's the case, do I need to add a pic before completing the doc section or will they do it anyway upon embarkation?

Whew - getting excited and the countdown is on to Alaska!

Yes, the photo is used to identify you on the ship.  If you upload a photo and it is acceptible they won't take another one when you get on the ship.  May save a few minutes at check-in.  You also could be eligible for expedited boarding if you upload a photo which means you won't even have to check in at all.

Could be.  I can tell you we sailed the Harmony in May and will do so again in September, and each time there was a prompt for the photo, which we ignore.

In 2018 for the Radiance in Australia, no photo prompt.

My understanding from this thread and others I posted at the time is that older ships use a different checkin process, where the entire party is on one Set Sail pass and I think goes through a different system on their IT side; as such, you can't upload photos (which are keyed to individual passes on those newer ships).
